Here are answers to genÂeral quesÂtions about speÂcial events at The Polasek.
1. How much does it cost to rent the museum?  Â
Please call the museum to conÂtact our speÂcial events coorÂdiÂnaÂtor. PricÂing is taiÂlored to the size and needs of your speÂcial event.
2. How much is the deposit to hold the space?Â
When you sign your conÂtract, a fifty perÂcent deposit is due. Deposits are paid to The Polasek. Your date will not be reserved withÂout a conÂtract and deposit. Final payÂment will be due 30 days prior to event.
3. How many peoÂple can the garÂdens accommodate?
Each site can accomÂmoÂdate varÂiÂous numÂbers of guests, but genÂerÂally, the garÂdens can accomÂmoÂdate up to 250 guests.
4. Do I need an appointÂment to see the gardens?
You may view the garÂdens as our guest durÂing norÂmal museum hours:
SepÂtemÂber 1 – June 30: TuesÂday – SatÂurÂday 10:00 am – 4:00 p.m.
and SunÂday 1:00 – 4:00 p.m.Â
AdmisÂsion fees apply to tour the resÂiÂdence and galleries.
The resÂiÂdence and galÂleries are closed for the months of July and August; howÂever, guests are still welÂcome view the garÂdens MonÂday – FriÂday from 10:00 a.m. – 4:00 pm durÂing these months.
5. How far in advance do you take reservations?
We book up to one year in advance. Please call for availability.
6. What kind of music may I have at my event?
Acoustic instruÂments and acoustic bands are a welÂcome addiÂtion to any speÂcial event at the Polasek. HowÂever, ampliÂfied music of any kind is not perÂmitÂted. This includes portable CD playÂers, radios and DJs.
7. If needed, is a rehearsal included in the rental fee?
No. A one hour rehearsal can be arranged based on schedÂule availÂabilÂity at the rate of $150. It must be schedÂuled in advance.
8. What hapÂpens if it rains on my event day?
The Polasek does not have any indoor backup space. You may rent a tent for an addiÂtional fee or rent an alterÂnaÂtive site in case of rain. The Polasek canÂnot refund any fees for events that need to be reloÂcated in case of rain. WedÂdings of eighÂteen attenÂdees or less, includÂing the bride and groom, may use our indoor chapel for cerÂeÂmonies. No food or bevÂerÂage is allowed in the chapel.
9. What time can my funcÂtion start and what time must it end?
Set up for your speÂcial event may begin as early as 9:00 a.m. the mornÂing of your event. BreakÂdown and cleanup must be comÂplete by 9:00 p.m. All music, bar and food serÂvice must end by 8:00 p.m.
10. Is there parkÂing available?
Onsite parkÂing spaces will hold 90 cars with valet parkÂing. If your event requires addiÂtional parkÂing space, the valet serÂvice will deterÂmine whether parkÂing should be on — or off-site. All groups requirÂing parkÂing of 25 or more cars must utiÂlize a valet serÂvice. All guest cars must be off-site immeÂdiÂately folÂlowÂing the event. Our gates will be locked after the event until the next schedÂuled museum operÂatÂing hours.
11. May I bring in my own food?
No. The museum has a list of preÂferred licensed caterÂers in varÂiÂous price ranges that are familÂiar with our facility.
12. May I serve alcohol?
Yes. All alcoÂholic bevÂerÂages must be served by one of the pre-approved caterÂers with the proper licensÂing for alcoÂhol service.
13. Does the Polasek proÂvide a dressÂing room?
No, but if you need to change you may use the pubÂlic rest room off the main gallery.
14. May I rent chairs, tables or tents?
All chairs, tables, tents, caterÂers etc. must be proÂvided by a venÂdor on our approved list. They are familÂiar with our site and can make your speÂcial event a beauÂtiÂful expeÂriÂence for you and your guests. All set-up and break-down must be done by an approved vendor.
15. May I decorate?Â
DecÂoÂratÂing is perÂmitÂted in the garÂdens, but nothÂing can be glued, staÂpled or nailed. All decÂoÂraÂtions must be free standÂing. No plants or landÂscapÂing can be disÂturbed. All decÂoÂraÂtions must be removed immeÂdiÂately folÂlowÂing your event.
16. May we throw flower petals?
Live rose petals, bio-degradable rice or bubÂbles are the only things that may be thrown. ButÂterÂflies or doves may be released in the garÂdens. NothÂing may be released or thrown inside the chapel.
17. Are canÂdles allowed? Â
Lit canÂdles are allowed in the garÂden only.
18. May I come early for photography? Â
If your event is booked here, you may take phoÂtos any time durÂing your rental hours.
19. May I have my forÂmal phoÂtogÂraÂphy sesÂsion in the gardens?
Yes. If you will require addiÂtional time for phoÂtogÂraÂphy other than your rental hours, you must schedÂule an appointÂment at the rate of $150 per hour.Â
The Polasek staff have hand selected a group of preÂferred venÂdors to help make your speÂcial day unforÂgetÂtable. The folÂlowÂing venÂdors are familÂiar with the Polasek garÂdens, are well estabÂlished and acknowlÂedged for their qualÂity of serÂvice and attenÂtion to detail. An event coorÂdiÂnaÂtor is recÂomÂmended for all events.
